“How much does managed IT cost?” is the first question most business owners ask — and the honest answer is that it depends on what you need covered. What we can do is explain how pricing works, what moves the number up or down, and how to compare quotes so you are not surprised later.

How managed IT is priced

Most Managed Service Providers charge a fixed monthly fee, calculated per user (everyone who needs support, whatever devices they use) or per device (each computer, server, and network appliance). Per-user pricing is the more common model for offices, because staff today use a laptop, a phone, and often a tablet. Either way, the point is the same: a predictable monthly cost instead of surprise invoices every time something breaks.

What drives the price

  • Support hours — business-hours helpdesk costs less than 24/7 response.
  • Security depth — basic antivirus versus managed endpoint detection, email security, and security awareness training.
  • Backup and disaster recovery — how much data, how often, and how fast you need it back.
  • On-site visits — whether hands-on support is included or billed separately.
  • Servers and cloud — on-premises servers, Microsoft 365, Azure, or AWS environments to manage.
  • Compliance needs — healthcare, finance, and legal practices usually need more documentation and controls.

What should be included

A good managed IT agreement covers monitoring, patching, endpoint protection, backups, and helpdesk support at a minimum, and spells out response times. Ask what is excluded too: projects such as office moves, new server builds, or migrations are often quoted separately.

How to compare quotes fairly

Two quotes can differ by a lot and both be fair — or one can be cheap because it leaves out backups or security. Line them up against the same list: support hours, response times, security tools, backup and recovery, on-site support, and what counts as a separate project. The cheapest quote that leaves you exposed to ransomware is not a saving.

The real comparison: the cost of downtime

The better question is often what an outage, a lost laptop, or a ransomware incident would cost your business. For most small and mid-sized businesses, a predictable monthly fee for proactive support costs far less than a single serious incident.
