Choosing an IT provider is one of the few decisions that touches every person and every system in your business. Most providers sound the same on a first call, so the difference shows up in the details. These ten questions will help you compare them fairly — and they are the same questions we expect clients to ask us.

1. What exactly is included in the monthly fee?

Get it in writing: monitoring, helpdesk, patching, security tools, backups, and on-site visits. Then ask what is excluded. Projects such as office moves, new servers, or migrations are often quoted separately, and that is fine — as long as you know before you sign.

2. How fast do you respond, and how is that measured?

Ask for response and resolution targets by priority, and how they are reported to you. “We are very responsive” is not a service level.

3. Who will actually support us?

Will you work with a named team that learns your environment, or a different technician every time? Ask where the helpdesk is based and what hours it covers.

4. How do you protect us from ransomware?

Listen for specifics: endpoint detection and response, multi-factor authentication, email filtering, patching, and backups that ransomware cannot reach. Ask when they last tested a full restore for a client.

5. Where are our backups, and how often are restores tested?

Backups should be off-site, encrypted, and restored on a schedule. A provider that cannot tell you when they last tested yours is guessing.

6. Can you show us what you are monitoring?

Good providers give you visibility: reports on patch status, backup results, security alerts, and the age of your hardware — not just an invoice.

7. Do you offer on-site support locally?

Remote support solves most problems quickly, but hardware, cabling, and office changes need someone on-site. Ask how quickly a technician can be at your office in Miramar, Fort Lauderdale, or Miami.

8. How do you handle onboarding and offboarding?

A structured onboarding documents your systems, passwords, and licences. Just as important: if you ever leave, will they hand everything over cleanly? Get that in the contract.

9. Can you support our phones, cloud, and line-of-business apps?

One accountable partner for computers, Microsoft 365, VoIP, and your key applications avoids finger-pointing between vendors when something breaks.

10. What does the contract look like?

Check the term, notice period, price increases, and what happens to your data at the end. A provider confident in its service does not need a contract you cannot leave.

We are happy to answer every one of these questions in writing as part of a free IT assessment — and to show you a sample of the reports our clients receive each month.
